WELCOME[edit]
Z. Smith Reynolds Library's objective is to provide positive public service to students, faculty, staff and the University community. YOU are an important part of the Z. Smith Reynolds Library's operation.
YOU represent the library to all our patrons. Your attitude and eagerness to help will influence the patrons view of our library. Please take your work as seriously as we do.
Each of you will spend many hours working in the library this year, serving many patrons and completing numerous transactions. Every time that you assist a patron, you project the impression of an efficient and friendly library. Your attention to detail can lessen careless mistakes and help save the valuable time used to correct the error. Your perfomance will make the difference!
Your position warrants a great deal of respect from all of us at ZSR. You work demanding hours on weekends and evenings in addition to hours between classes. You also have to deal with the pressures from fellow students, faculty, and staff.
Many students choose to continue working in the library all four years at Wake Forest University. Working in the library can be a valuable experience for you. Our library staff recognizes that you are integral in making the library a pleasant place to work and ensuring its efficient operation, and could serve as a springboard for your next occupational opportunity.
SCHEDULES AND POSTING/LOGGING IN HOURS[edit]
You will report to the following supervisors:
Day Desk Supervisor – Renate Evans – x5676 – evansrg@wfu.edu
Night Desk Supervisor – Peter Romanov – x5656 – romanopa@wfu.edu
A schedule of 6-10 hours per week is preferable. Working periods of two hours are also preferable. Everyone will be REQUIRED to work a minimum of eight hours during the exam period. You are REQUIRED to let us know if you have any other on-campus jobs.
Grounds for dismissal include: three unexcused absences during one semester, falsifying WIN account, poor job performance and insubordination.
Remember that you are always expected to be on time and ready to work when your shift starts. As Skip Prosser once said, 'If you can't be on time, be early.'
Unexcused absences will not be tolerated. An unexcused absence is an absence when you have not notified a supervisor or your absence was not excused by a supervisor.
Unexcused absences will be recorded. After two unexcused absences, a written warning will be issued. Three unexcused absences will be cause for dismissal.
You are expected to be prompt and work the full amount of time you are scheduled for. Three unexcused tardies (10 minutes late) equals one unexcused absence. DO NOT sign up for an 8am shift if you cannot be here on time!
In case of an emergency/sickness, you are required to contact a supervisor via their personal phone extension or email. If emailing, please copy your email to the following address as well: zsrcirc@wfu.edu. The purpose of the zsrcirc email is that if your supervisor is not here that day then another supervisor will be able to view your email.
If you cannot work your shift, you are required to either find a substitute or post your hours on the "For Sale" board. When you post your hours, please fill out the entire slip. If you are selling more than one hour in a row, please list the hours individually. This may increase the chance that someone will sign up for some of your hours even if they can't work them all.
When you sign up for another student's hours, you become responsible for those hours. Three instances of posted hours that are not accounted for equals one unexcused absence.
You must log your hours on WIN for EACH SHIFT that you work. You must submit your hours on WIN by midnight of the last day of the month. If you don't, you will not get paid until the following month.
GOOD PUBLIC SERVICE - WHAT IS IT?[edit]
Your public service attitude and eagerness to help are the keys to library patrons forming a positive outlook of the library. MAKE THEM WANT TO COME BACK!
Library patrons will be treated courteously at all times.
A SMILE does a great deal to promote a favorable impression while working the Circulation Desk. Show interest and courtesy. Initiate discussion with a person obviously coming to you for help: "HOW MAY I HELP YOU?"
Always be positive:
May I help you? NOT What da ya want?
Just a moment please? NOT Yeah, yeah, in a minute!
I'm sorry but... NOT Too bad, library breath.
Never leave a patron until you have helped or found someone who can. Follow these guidelines:
DO:
-Ask a full-time staff member
-Take a message and assure the patron that someone will get back to them.
Due to privacy laws, if a patron asks who an item is charged to, we will NOT reveal their identity. Refer any questions or problems with this policy to full-time staff members.
CIRCULATION DESK POLICIES AND PROCEDURES[edit]
There are a variety of tasks and activities that go on at the Circulation Desk. The main task at the Circulation Desk is assisting patrons with checking books/media items in and out. This list will help orient you to the main tasks and policies.
It is very important that the patron presents their ID card to check out materials. DO NOT CHECK OUT TO PATRONS WHO CANNOT PRESENT SOME FORM OF ID. When you scan the ID card, please check the screen to make sure the name matches the one on the card. As you check the materials out, please verify that the titles are correct and that the computer assigned due date corresponds to the patron type (you will learn more about this later).
The same attention is needed when checking in returned materials. Make sure that the cursor is in the correct box and that the material has been checked in (just because the scanner beeps, doesn't mean that the material was checked in. You must have the cursor in the appropriate box).
Often, message boxes will pop up when you are checking materials in and out. Please read them carefully and get a staff member if you are unsure what to do. Be sure when you are ready to continue that the cursor is back in the appropriate box.
You will also be checking Reserve materials in and out. This same procedures apply.
Patrons will also ask you for help in locating materials, so you will need to look items up on the computer and give location and status information.
Patrons may ask you how to reserve a study room. The library has six study rooms. Rooms 225-228 are located down the hallway directly in front of the Circulation Desk. Rooms A-C are located on Wilson Wing level 6. Students can sign up for Study Rooms online on the computers located directly in front of the Circulation Desk. If they go to the Library Home Page and find the Services tab, they will find a link to the Study Rooms sign up there.
Copy cards are for the use of the general public and for faculty and student assistants who charge photocopies to department accounts. They are also available for students whose ID card is damaged. Copy cards are located on the small wooden table behind the cash drawer.
Remember to take some form of ID as collateral for the copy card. Tell the patron to keep track of the number of copies they make by counting copied sheets, NOT by the balance on the copy card.
All copies are 10 cents per page. Copies are paid with CASH ONLY. Please alert the patrons of this BEFORE giving them the card. For those making copies for a department, they only need to fill in the number of copies made in the appropriate section of the department charges binder.
A free print card is available for students who have free pages available and are printing in the ITC. Undergraduates get 50 free prints and Graduates get 250 prints per semester. This card should only be given to a student if they do not have their own ID card with them or it is damaged.
ITEMS ON HOLD
If an item has been requested by a patron, a hold slip will print out at the Circulation printer when it is checked in. After notifying a patron via email that their item is available for pick up, please write the day's date at the top of the page and place the item on the hold shelf by the person's last name in alphabetical order.
There are 3 places where items on hold may be found:
-DVDs/VHS are found on a hold shelf located above the DVD collection beside the Reserve section.
-ZSR Library books are found on a shelf located on the right inside the sorting room.
-Interlibrary Loan books are found on the red shelves located on the right inside the sorting room.
Off-site items are placed on the right inside the sorting room as well. Only staff members deal with the processing of these items, so please notify a staff member when anything concerning Off-site arises.
RESERVE ITEMS
Required readings for courses are often placed on Reserve. Reserve materials such as books and media are made available for limited loan periods. In this way students are assured access to needed materials. The majority of these items can be checked out for a maximum of two hours, with their use restricted to inside the library. Other loan periods can be set by the professor and include one day, three day, and seven day check outs. This will be indicated by a sticker placed on the spine of the item. The computer will already have set the due date for this items. Reserve book items also have a different due date inside the front cover. Unless the item is checked out for one of the longer loan periods, this slip DOES NOT need to be stamped. The slip should include the name of the professor and the course the item is on reserve for. If you ever have a question about these items, please ask a staff member.
MEDIA COLLECTION
The ZSR Library Media Collection is housed by the Reserve collection. This collection contains DVDS, VHS, CD-ROMs, Audiotapes, CDs, and Laser Discs. Patrons can search for titles on the library catalog and in the binders located beside the public terminals.
-Students are allowed to check out THREE media items at a time. Faculty and Staff may check out FIVE.
-When checking out/in DVDs, please be sure that the DVD is in its case and not damaged.
HEADPHONES
Headphones are available for check out. They are located in a filing cabinet under the Circulation desk. The check out period is four hours. Remove the headphones from the bag and scan the barcode located on top of the headphones. Keep the bag in the drawer.
POWER CORDS/POWER STRIPS
Power cords and power strips for thinkpads are available for check out. Power cords are located in the filing cabinet under the Circulation desk. The check out period is 4 hours. The barcode is located on the wood plate attached to the cord. Power strips are located in a drawer located underneath the main telephone. The barcode is located on the wood plate attached to the cord.
LOCKERS
The library has 30 lockers available for check-out. The lockers are located down the hallway directly in front of the Circulation Desk. Each locker key has a barcode attached to it. The check-out period for locker numbers 1-15 is 7 days. Locker numbers 16-30 are available for 60 days. Locker check-out is restricted to UNDERGRADUATE STUDENTS ONLY!
OTHER GENERAL DESK PROCEDURES AND RULES
